STEP 1

  • Introduce our team via a virtual meeting
  • Create goals and objectives for the event
  • Discuss the best solutions for any obstacles

STEP 2

  • Schedule a site visit
  • Discuss and brainstorm proposed set and theme options
  • Create an equipment list
  • Develop a realistic production schedule

STEP 3

  • Schedule a plenary session with all production team members
  • Present floor plans and needed information for contractors, venue staff, and the local fire marshal

STEP 4

  • Develop a planning meeting for breakout sessions
  • Discuss and explore equipment and possible room layouts

STEP 5

  • Schedule regular team meetings to make sure everyone is on the same page

STEP 6

  • Review floor plans for the general session, plenary session, and breakout rooms
  • Review all equipment requirements

STEP 7

  • Confirm floor plans for the general session, plenary sessions and breakout rooms
  • Review equipment requirements for all meetings
  • Review rigging and electrical orders prior to submission to in-house audio/visual company for approval

STEP 8

  • Submit all floor plans to the fire marshal and hotel convention services department
  • Confirm all travel and hotel rooms for on-site Immersive Productions staff

STEP 9

  • Confirm rigging and electrical services with in-house audio/visual company

STEP 10 – Conference Week

  • Schedule a pre-conference meeting with the facility
  • Move into the venue
  • Set up all equipment
  • Conduct technical and speaker rehearsals
  • Begin conference production and load-out at the conclusion of the event

STEP 11 – Post Event

  • Review final billing
  • Discuss location for next year’s event!
